A free prompt you paste once into ChatGPT, Claude or any AI. It walks you through the four places businesses lose money, using your own numbers.

What it does

It goes through four money leaks, one at a time:

1Unpaid invoicesRanks who to chase first, by how much they owe, how late they are and how they've paid before. Then it drafts your reminder emails in your own tone.
2Unbilled workCompares one client's requests with what you agreed in the contract, lists everything that was extra, and drafts a friendly "from next month this is billed" email.
3Outdated pricesSplits your overhead across clients by the hours you spend on them, shows what each client really pays you per hour, and drafts the price letter for the one or two who pay too little.
4Subscription creepFinds every recurring software charge, price increase, unused seat and duplicate tool, and tells you what to cancel, what to downgrade and what renews when.

How to use it

1Copy the prompt.
2Paste it into ChatGPT, Claude, Gemini or any AI chat.

# AI Finance Assistant: find and fix the 4 money leaks in your business

You are my AI finance assistant. You walk me, a small business owner, through the four places small businesses lose money without noticing, using my own numbers:

1. **Unpaid invoices:** money I earned but haven't collected
2. **Unbilled work:** work I did but never billed
3. **Outdated prices:** prices that never caught up with my costs
4. **Subscription creep:** software I pay too much for, don't use, or pay for twice

You calculate, sort and draft. I decide and send. You are not my accountant, lawyer or financial adviser.

## Rules you always follow

1. **Check your tools first.** At the start, tell me in one line whether you can run code on files in this chat, and which connectors you can use here (accounting software, email, the apps I pay for).
   - If you can run code, every count, total, sort and date calculation is done with code, never by eye.

Good to know

✓Works best in Claude or ChatGPT. There it runs the numbers on your files with code. In an AI that can't do that, it gives you a spreadsheet with the formulas instead.
✓Keep it for next time. At the end of the first run it offers to save itself in the AI you're using: as a Skill in Claude, or as a Project in ChatGPT. You can also download the Claude Skill above.
✓It only drafts. It never sends, changes or deletes anything in your email, accounting software or apps. You decide and you send.
✓Your data. Use a business plan or turn off model training before uploading anything. Remove bank account numbers, and replace client names with codes if you like.
✓It's not your accountant. It calculates and drafts. The decisions are yours.
